This Policy applies to personal data we process when you:

5. Data retention

We retain personal data only for as long as necessary for the purposes set out above:

  • Enquiry records: 2 years after last contact if no contract is signed.
  • Client records & contracts: 7 years after contract end (for tax/audit reasons).
  • Marketing contacts: until you withdraw consent or unsubscribe.
  • Analytics & advertising cookies: see individual lifespans in Section 9.

Data that is no longer required is securely deleted or anonymised.

6. Disclosures & international transfers

We share data only with trusted third parties who perform services for us under contract, including:

  • Cloud CRM & project‑management providers (data stored in our CRM within the UK/EU data centres where available);
  • Website hosting & email providers;
  • Analytics and advertising platforms listed in Section 9;
  • Professional advisers (accountants, lawyers, auditors); and
  • Regulators or law‑enforcement where legally required.

Some partners (e.g. Google, Meta, LinkedIn, Microsoft) may process data outside the UK/EU. Where we transfer data internationally, we rely on adequacy regulations or approved transfer mechanisms (e.g. Standard Contractual Clauses) to protect it.

7. Security

We apply appropriate technical and organisational measures to safeguard personal data, including:

  • Encryption in transit (HTTPS/TLS) and at rest for cloud services;
  • Role‑based access controls within our CRM and analytics accounts;
  • Regular patching and monitoring of our servers;
  • Staff data‑protection training.

8. Your rights
